  • We do not collect personal data from members of the public at scale. We do not run consumer-facing services, marketing databases, or behavioural tracking.

  • Respond to enquiries and prepare quotes
  • Deliver translation and localization projects
  • Manage relationships with clients and vendors
  • Issue invoices and meet our tax and accounting obligations
  • Maintain a record of past projects and ongoing collaborations
 
4. Documents Submitted for Translation
When clients send us documents for translation, those documents may contain personal data relating to third parties — for example, names in a contract or details in a corporate report.

In this context, we act as a data processor on behalf of the client, who remains the data controller. We handle such material under confidentiality, do not retain it beyond what the project requires, and return or delete source files in line with the client's instructions.
 
5. Who We Share Data With
We share personal data only where necessary:
 
  • Freelance linguists engaged on a project — bound by non-disclosure agreements
  • Translation technology providers (MemoQ, SDL Trados, Smartcat) used for project execution
  • Our project management system (]Project Open[, hosted in Spain)
  • Our accountant and banking partners for financial obligations
We do not sell personal data, and we do not share it for marketing purposes.
 
6. International Transfers
Alafranga Europe Ltd is registered in the United Kingdom, with operations also based in Sığacık, Türkiye. As part of our normal workflow, personal data may be processed in Türkiye and in Spain (where our project management system is hosted).

Where data is transferred outside the UK, we rely on Standard Contractual Clauses and apply equivalent technical and organisational safeguards, including encryption and access controls.
 
7. How Long We Keep It
We retain personal data only for as long as necessary:
 
  • Client and project records: 7 years (UK accounting and tax requirements)
  • Vendor records: for the duration of the working relationship, then archived
  • Job application data: 12 months from the date of application
  • General correspondence: 5 years
  • Website analytics: up to 26 months
